Terms and Conditions for AuDHD Psychiatry Services

1. Introduction
These Terms and Conditions apply to all services provided by AuDHD Psychiatry, including ADHD assessments, autism assessments, combined assessments, and medication treatment. By booking an appointment with AuDHD Psychiatry, you accept and agree to these Terms and Conditions, which may be updated periodically. The version in force at the time of your booking will apply.

2. Our Commitment to You
AuDHD Psychiatry reserves the right to determine the suitability of accepting an individual into our care. We are not required to provide a rationale for declining to offer services where we believe our clinic is not suited to meet a prospective client’s needs.
We are committed to treating every client with respect and dignity and to providing equitable care without bias on the basis of age, sex, gender identity, disability, race, religion, or any other protected characteristic.
We prioritise the confidentiality and privacy of your information. For detail on how we handle personal data, please refer to our Privacy Policy.
Where necessary for coordinated and effective care, AuDHD Psychiatry may share relevant information regarding your assessment, diagnosis, and treatment with your GP or other healthcare professionals involved in your care.
Our clinic conducts comprehensive assessments and, where necessary, may recommend further evaluation or tests with other professionals. Treatment will begin only after a thorough review of all essential diagnostic results and, where relevant, specialist input.
3. Your Commitment (Client Responsibilities)
By scheduling an appointment with AuDHD Psychiatry, you accept and agree to adhere to these Terms and Conditions and to the responsibilities set out below.
Pre-assessment forms. You are required to complete any pre-assessment forms and other requested documents fully and accurately, and to return them promptly ahead of your appointment. Failure to return completed forms in good time may result in the postponement or cancellation of your appointment until the required information is provided, or may prevent us from delivering services appropriately tailored to your needs.
Changes to your health or circumstances. It is your responsibility to inform AuDHD Psychiatry of any change in your medical or mental health status, medication, or any significant change in your personal or social circumstances. We cannot be held liable for adverse consequences arising from a failure to provide this information.
GP details. You must provide accurate and current GP details as set out in Section 11, and keep these up to date.
Timely payment. You are responsible for ensuring fees are paid in accordance with Section 6.
Punctuality and attendance. You are responsible for attending on time. Our in-person appointments require you to arrive promptly; lateness may lead to rescheduling under the terms of this document. For online appointments, please join a few minutes before the scheduled start time to confirm your camera and microphone are working.
4. Booking Process
Platforms: AuDHD Psychiatry uses Carebit and Semble as its primary booking and patient-management platforms and occasionally Calendly. Clients are required to select an appointment time online.
Booking Confirmation: After booking, you will receive an email confirmation. If you do not receive a confirmation within 24 hours, please contact us immediately via our Contact Us page.
Medical Records: By booking an appointment, an electronic medical record (EMR) will be created to securely store your medical history and consultation notes.
Consent to Share Records: By booking, you consent to AuDHD Psychiatry sharing relevant medical information, including your diagnosis and prescribed treatment, with your GP.
5. Cancellation and Rescheduling Policy
We recognise that schedules can change. The following cancellation policy applies to all appointments and is based on how much notice you give before your scheduled appointment time:
72 hours or more notice:
- Full refund issued. No cancellation fee applies.
Less than 72 hours’ notice (or non-attendance):
No refund will be issued. What happens next depends on the type of appointment:
- Assessment appointments (ADHD, autism, or combined assessment sessions), informant interviews, and feedback sessions: the full amount paid will be held as a credit toward a rebooked appointment, and the applicable rebooking fee below is payable before the new appointment is confirmed. The credit must be used within 6 months of the original appointment date, after which it will expire and no refund will be issued.
- Medication appointments (initial medication reviews, follow-ups, and monitoring or repeat reviews): the full appointment fee is charged and is non-refundable. No credit is held, and the full fee is payable again to rebook.
Rebooking fees by appointment type:
- ADHD, autism, or combined assessment (main assessment session): £250
- Informant interview (informant call): £150
- Feedback session: £150
- Medication appointment: the full appointment fee (charged as set out above)
Rescheduling:
Rescheduling is permitted up to 72 hours before the appointment, subject to availability. Rescheduling requests made within 72 hours of the appointment will not be accommodated and the appointment will be considered cancelled under the terms above.
6. Payment
Payment Terms: Payment must be made in full at the time of booking via Stripe. Appointments will not be confirmed until payment is successfully processed. All services provided by AuDHD Psychiatry are chargeable unless otherwise stated, and all payments are taken in British pounds (GBP).
Cooling-Off Period: By booking an appointment, you waive the statutory 14-day cooling-off period for services booked less than 14 days in advance. This allows AuDHD Psychiatry to allocate clinician time and resources immediately.
Overdue Payments: Overdue balances will accrue interest at 10% per annum above the standard lending rate. Legal costs, court fees, and collection expenses will be added to overdue amounts as principal. If an appointment proceeds exceptionally without prior payment, any outstanding fees must be paid immediately after the service, and we reserve the right to take reasonable steps to recover unpaid dues.
7. Missed Appointments
A missed appointment occurs when:
- You fail to attend the consultation at the scheduled time (you may arrive up to 15 minutes late), or
- You fail to reschedule or cancel within the specified timeframe.
Where a client fails to attend a scheduled appointment without prior notice, the cancellation terms in Section 5 apply according to the type of appointment. For assessment, informant, and feedback appointments, the full fee is retained as a credit toward rebooking and the applicable rebooking fee (£250 for a main assessment session; £150 for an informant interview or feedback session) is payable before a new appointment is confirmed, with the credit valid for 6 months. For medication appointments, the full fee is charged and is non-refundable, and the full fee is payable again to rebook.
7a. Missed Individual Assessment Components
Where a client has booked a multi-component assessment — such as a Combined ADHD & Autism Assessment — each appointment within that assessment is treated as an individual scheduled session. This includes, but is not limited to, the autism assessment, the ADHD assessment, and the informant call.
If a client fails to attend any individual component of their assessment without providing the required notice under Section 5, the following applies:
- The missed component will not be refunded.
- A rebooking fee is charged to rebook that component: £250 for the ADHD or autism assessment session, and £150 for the informant interview (informant call) or feedback session.
- The rebooking fee is payable in full before the new appointment is confirmed.
- Rebooking is subject to clinician availability.
- The right to rebook a missed component expires 6 months from the date of the original missed appointment.
The £250 rebooking fee applies to missed standalone ADHD or autism assessments where the client wishes to rebook. Missed medication appointments are treated separately under Section 5: the full fee is charged and payable again to rebook.
These fees reflect the clinician and contractor costs incurred for the new appointment slot, as well as the loss of a clinical slot that cannot be reallocated to another client at short notice.
AuDHD Psychiatry reserves the right to waive these fees at its discretion where attendance was prevented by circumstances genuinely beyond the client’s control, such as a medical emergency, provided appropriate evidence is supplied within 5 working days of the missed appointment.
8. Prescriptions
AuDHD Psychiatry is not an online pharmacy or telemedicine provider. Issuing any prescription is strictly at the discretion of your consulting clinician, following a thorough consultation and in compliance with the prescribing standards set by the GMC, NICE, and the BNF.
Medications will be prescribed only when deemed clinically appropriate. All prescriptions issued are private (not NHS) prescriptions and must be fulfilled at a UK-licensed pharmacy.
During your initial assessment, prescriptions for medication will not be issued. Where medication is deemed necessary, a prescription will be provided only after a follow-up appointment and upon review of the required baseline tests and your GP records, in line with safe prescribing practice.
Re-Issuing Prescriptions: Re-issuing lost or misplaced prescriptions is at the sole discretion of the clinician and may incur a fee.
Repeat Prescriptions: If you require a repeat prescription while on a stable medication dose, you must submit a repeat prescription request. An administration fee is applicable and must be paid before the prescription is issued. This fee is separate from any charge made by the pharmacy for the medication itself.
9. Medication Management
Treatment with medication may carry risks, including side effects, withdrawal symptoms, and other potential complications. These risks may increase if you do not follow clinical guidance or if you take more than the prescribed dose. Non-compliance may lead AuDHD Psychiatry to terminate treatment immediately for your safety.
You have the right to discontinue treatment at your discretion. However, ceasing treatment against medical advice may result in serious risks, including side effects and withdrawal symptoms, for which you will bear full responsibility.
Cost of medication. The cost of medication is not included in the fees for your assessment or follow-up appointments and is paid directly to the dispensing pharmacy. AuDHD Psychiatry charges only for the clinical service and any applicable prescription administration fee; we do not charge for the medication itself.
Dispensing and delivery. Prescriptions are fulfilled by a UK-licensed pharmacy. The pharmacy is responsible for processing your prescription, arranging any delivery, and taking payment for the medication. AuDHD Psychiatry cannot be held responsible for delivery delays, dispensing errors, stock unavailability, or other issues arising at the pharmacy. Should a prescription be lost or damaged, or the medication be unavailable, you should contact the pharmacy in the first instance.
Pharmacy fees. The cost of medication is determined by the dispensing pharmacy and is beyond the control of AuDHD Psychiatry.
Controlled drugs. Prescriptions for controlled medications are valid for one month from the date of issue and must be dispensed within this timeframe.
Personal use. You acknowledge that any medication obtained is for your personal use only. You agree to read all provided information and to follow the dosing instructions given by your clinician, whether on the medication label or otherwise. If any instruction is unclear, you are responsible for contacting your clinician, pharmacist, or another doctor for clarification.
10. GP Collaboration and Baseline Testing
To provide treatment safely, AuDHD Psychiatry must share relevant information with your GP or other healthcare professionals as necessary. Starting any ADHD medication requires preliminary baseline tests and a clinical examination, which we will discuss with you.
If you are pursuing a private assessment with the intention of continuing your care through your NHS GP, you should confirm with your GP beforehand that they are willing to support subsequent testing, monitoring, and prescribing. GPs are not obliged to agree to such arrangements and may decline. AuDHD Psychiatry is not liable for any refusal by your GP. If your GP does not support these services, we recommend arranging them through an alternative provider.
11. GP Information Requirements
Prior to your assessment, AuDHD Psychiatry requires you to provide your GP’s name, address, and contact number on your pre-assessment form, and to keep these details current at all times. These details will be used in emergency situations, for safeguarding purposes, or where required by law.
In cases of emergency or where a safeguarding concern arises, AuDHD Psychiatry may be legally obliged to contact your GP or another relevant healthcare provider to ensure your safety. AuDHD Psychiatry disclaims liability for any loss or harm arising from a failure to provide accurate GP details.
12. Shared Care Agreement
AuDHD Psychiatry cannot guarantee that your GP will agree to a Shared Care Agreement. We typically use the NHS England library of Shared Care Agreements but are also willing to adopt any local Shared Care Agreement that your GP may use, in line with the protocols of your local area.
If you enter into a Shared Care Agreement with our clinic, you commit to attending regular medication review appointments with your clinician to assess the effectiveness and safety of your treatment. Reviews are required every 3 months for children and young people, and every 6 months for adults. Regular attendance at these reviews is essential. Failure to attend these appointments as required will lead to termination of the Shared Care Agreement, discharge from the clinic, and notification to your GP of your discharge.
13. Medical Record Sharing and Retention
Storage: All medical records are securely stored in compliance with GDPR regulations.
Consent for Sharing: By booking an appointment, you consent to AuDHD Psychiatry sharing relevant medical information with your GP.
Accuracy: It is your responsibility to verify the accuracy of your medical records during consultations.
Retention: AuDHD Psychiatry is required to retain your records for a minimum of 8 years following discharge or your most recent appointment, in line with NHS and professional body guidance. Although data should not be held longer than necessary, certain circumstances — such as the potential for a claim or a serious incident — may justify extended retention. Each record will be carefully evaluated before any secure destruction is undertaken.
14. Refunds and Disruptions
Refunds are granted in the following situations:
- If a consultation is cancelled by AuDHD Psychiatry, or
- If a consultation is disrupted due to technical issues attributable to AuDHD Psychiatry.
Where a refund is due, please allow up to 10 working days for the transaction to reflect on your bank statement.
No Refunds: Refunds are not provided for:
Starting a consultation late or failing to use all available time
Missed appointments
Inability to fulfil a private prescription
15. Respect, Conduct and Zero Tolerance Policy
AuDHD Psychiatry is committed to maintaining a high standard of care for all clients. The wellbeing of both clients and staff depends on a respectful relationship between all parties. We enforce a strict zero-tolerance policy towards any form of abuse directed at our staff or clinicians.
Should any communications or conduct be deemed abusive — including unduly aggressive, threatening, discriminatory, or excessively critical language directed at our staff or services — we reserve the right to terminate our services to the individual concerned. This action may be taken without a refund for services already rendered. Where feasible, we may direct you to an alternative provider, though we are not obliged to do so.
If a client is found to be intoxicated or under the influence of drugs during an appointment, we reserve the right to immediately terminate the session without prior notice or refund.
AuDHD Psychiatry will not tolerate threatening or violent behaviour towards any person involved with our services. We reserve the right to end an appointment and, if necessary, seek appropriate intervention, including police involvement, in response to such behaviour.
This policy does not affect your right to make a legitimate complaint. Our complaints procedure remains open to all clients at all times.
16. Inactive Patients
If you do not attend an appointment within a 12-month period while undergoing active treatment with AuDHD Psychiatry, you will be considered an inactive patient and may be discharged from our care. In such cases, your GP will be informed of your discharge status. Should you wish to re-engage with our services following discharge, a new assessment or review appointment may be required.
17. Young People (Under 18): Consent, Confidentiality and Participation
Scope
This section applies where AuDHD Psychiatry provides services to young people under the age of 18, including child ADHD assessments, autism assessments, and combined assessments. Additional service-specific information may be provided at the point of booking.
Parental Responsibility
A person booking on behalf of a young person confirms they hold parental responsibility or formal legal authority to do so, and will provide evidence of this on request. Where parental responsibility is shared, the person booking confirms they have the authority to proceed and, where required, that the other party with parental responsibility has been appropriately consulted.
Consent and Decision-Making
AuDHD Psychiatry will assess a young person’s ability to understand and make decisions about their own healthcare in line with UK law and clinical guidance.
- Ages 16–17: We will normally treat 16 and 17-year-olds as able to consent to their own assessment and care, unless there is clinical evidence to the contrary.
- Under 16: We will assess whether the young person has sufficient maturity and understanding to give their own consent (Gillick competence). Where a young person is not assessed as competent, consent will be obtained from the person with parental responsibility.
Where a young person is assessed as able to make their own decisions, we will respect their wishes regarding treatment and the sharing of information, except where we are required to disclose information by law or to protect the young person or others from serious harm.
Confidentiality and Information Sharing
AuDHD Psychiatry encourages the involvement of parents and carers in a young person’s care. However, where a competent young person does not consent to sharing certain information, we will respect their confidentiality subject to our safeguarding and legal obligations.
We may share information without consent where required by law or where necessary to prevent a risk of serious harm. For continuity of care, and where clinically appropriate, we may share assessment outcomes or recommendations with the young person’s GP. Where the young person is competent to decide, we will seek their consent before sharing, unless disclosure is required by law or to prevent serious harm.
Assessment Components and Third-Party Input
Our child assessments typically include one or more of the following components:
- A clinician-led session with the young person using a recognised assessment tool
- A structured interview with a parent or carer
- Standardised questionnaires completed by a parent or carer and, where relevant, a nominated school contact
By booking, you authorise AuDHD Psychiatry to send and receive the necessary questionnaires and information to and from any named school contact, and confirm you have the appropriate authority or the young person’s consent, where applicable, for us to do so.
Online Appointment Requirements
You must ensure a suitable, private environment with a stable internet connection and functioning camera and audio. The young person must be present and able to engage for the duration required. A parent or carer must be available for their interview segment at the agreed time. Persistent technical issues not promptly remedied by the client may result in the appointment being rescheduled and a rebooking fee applying.
Participation, Young Person Availability and Fees
The full appointment fee is retained and the applicable rebooking fee set out in Section 5 will apply (£250 for the young person’s assessment session; £150 for the parent/carer informant interview) in any of the following circumstances:
- The young person fails to attend the appointment.
- The young person declines to appear on camera or refuses to engage with the assessment process such that a meaningful assessment cannot proceed.
- The young person disengages or becomes unable to continue during the session and the assessment cannot be completed.
- The required parent or carer is not available at the agreed time for their interview segment.
- The behaviour or environment of those present requires the clinician to end the session early.
- Persistent technical issues on the client’s side are not resolved promptly and prevent the assessment from proceeding.
In all of the above circumstances, the clinician retains full discretion over whether the session can continue or must be ended. Where a session is ended early at the clinician’s discretion, the full fee remains payable and the applicable rebooking fee (see Section 5) applies to rebook. The credit toward rebooking must be used within 6 months of the original appointment date.
Cancellation and Lateness — Child Appointments
The standard cancellation policy in Section 5 applies to all child appointments. In addition:
- Late arrival may reduce the available appointment time. Where the remaining time is insufficient to conduct a meaningful assessment, the clinician may end the session and the rebooking policy above will apply.
- If a parent or carer arrives late or is unavailable for their required interview segment, this will be treated as a missed component and the £150 informant-interview rebooking fee (see Section 5) will apply to rebook that segment.
Safeguarding
AuDHD Psychiatry takes its safeguarding responsibilities seriously. If concerns arise about the safety or welfare of a young person during or following an assessment, we may share information with relevant statutory services in line with our legal duties and safeguarding policy. Please refer to our Safeguarding Policy for further information.
18. Complaints Procedure
If you have concerns about any aspect of our services, we encourage you first to raise these with your designated point of contact at AuDHD Psychiatry. Should your concerns remain unresolved, you are entitled to make a formal complaint. Complaints must be submitted in writing via our Contact Us page. AuDHD Psychiatry will acknowledge receipt within 3 working days and aim to resolve issues promptly. Complaints requiring detailed investigation will receive a formal response within 28 days.
19. Non-Emergency Care
AuDHD Psychiatry does not provide emergency medical services or crisis intervention. We are not equipped to manage patients in emergency situations or those at high risk, during or outside of regular business hours.
If you experience a severe deterioration in your mental health — such as suicidal thoughts, intentions of self-harm, thoughts of harming others, or if you are in danger from others — it is important to inform a relative or carer and to seek immediate help. Contact your local NHS Crisis Team, attend your nearest A&E department, or dial 999 or 111.
There may be instances where our clinicians determine that your needs exceed what our service can safely provide. In such cases, we will direct you to a specialised service able to offer the appropriate level of care, to help ensure you receive the most effective and comprehensive treatment for your condition.
20. Privacy, Data Handling and Legal Disclosure
We handle your personal data in strict compliance with all applicable laws, including the UK GDPR and the Data Protection Act. Your information will be used solely for managing your assessment, treatment, and ongoing care. By engaging with our services, you agree to our storage and processing of your data as set out in our Privacy Policy. Maintaining the security and confidentiality of the information disclosed during assessments — including personal details and medical history — is a top priority.
There are instances where we may be legally compelled to share your personal information, such as where you disclose a serious risk to yourself or others, potential acts of terrorism or serious crime, or where child protection concerns require reporting under safeguarding legislation.
21. Storage and Management of Your Data
AuDHD Psychiatry uses secure third-party platforms to store and manage patient records and payments, including Carebit and Semble for patient management and booking and Stripe for payment processing. These providers apply industry-standard security measures, including encryption of data in transit and at rest, in line with recognised data-security standards.
By using our services, you acknowledge that your data will be securely stored and managed within these systems in accordance with our Privacy Policy.
22. Use of an AI Clinical Scribe in Consultations
To enhance the quality and efficiency of our consultations, clinicians may use an AI clinical scribe during your appointment. An AI clinical scribe is a secure digital assistant that uses artificial intelligence to help document medical notes, allowing your clinician to focus on listening to your concerns rather than manually recording notes. Clinicians review and approve all notes before they are added to your patient record.
The benefits include improved interaction during the consultation, accurate and detailed documentation, and greater time efficiency.
Patient Consent
Your privacy and comfort are our priority. The AI scribe processes only information discussed during your appointment and operates within strict privacy and data-protection regulations, including the UK GDPR. Before using an AI scribe, your clinician will explain its role and seek your verbal consent. You have the right to decline its use at any time, and doing so will not affect the quality of care you receive. If you prefer not to have an AI scribe involved, please let your clinician know.
23. Medical and General Disclaimers
Clinician Discretion: Clinicians retain full discretion over diagnoses, treatments, and prescriptions. AuDHD Psychiatry makes no guarantees regarding specific outcomes.
Urgent Care: AuDHD Psychiatry services are not suitable for emergency or crisis situations. If you require urgent care, contact NHS Emergency Services or your nearest healthcare provider immediately. If you experience a severe deterioration in your mental health, including suicidal thoughts, intentions of self-harm, or harm to others, contact your local NHS Crisis Team, visit the nearest A&E department, or dial 999 or 111.

24. Service Reliability
AuDHD Psychiatry strives to provide uninterrupted service but cannot guarantee that consultations will always be free of technical disruptions. In cases of service interruption, AuDHD Psychiatry will reschedule affected consultations.
25. Technology and Data Security
AuDHD Psychiatry uses industry-standard measures to protect your data but cannot guarantee that its platforms will be free from viruses, cyberattacks, or technical failures. Clients are advised to use updated antivirus software on devices used to access AuDHD Psychiatry services.
26. Limitation of Liability
AuDHD Psychiatry is not liable for indirect, incidental, or consequential damages arising from the use of its services. This includes, but is not limited to, technical disruptions, prescription delays, or dissatisfaction with services provided. Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.
27. Dispute Resolution
In the event of a dispute, clients agree to attempt mediation before pursuing legal action. Mediation costs will be shared equally between both parties.
28. Applicable Law
These Terms and Conditions are governed by English law. Legal proceedings may be brought in England, Scotland, or Northern Ireland depending on the client’s residence.
29. Force Majeure
AuDHD Psychiatry shall not be held liable for failure to provide services due to circumstances beyond its control, including but not limited to natural disasters, strikes, or regulatory changes.
30. Administrative Fees
Additional administrative tasks, such as providing copies of medical records or re-issuing lost prescriptions or reports, may incur fees. AuDHD Psychiatry will communicate these fees before the task is carried out.
31. Acknowledgment Statement
When you schedule an appointment with AuDHD Psychiatry, your booking confirms that you:
- Accept and agree to abide by these Terms and Conditions.
- Confirm that the information you have supplied is, to the best of your knowledge, current, accurate, and complete.
- Give permission for AuDHD Psychiatry to communicate with your GP and other relevant healthcare providers, and with the dispensing pharmacy, as needed for your care.
- Acknowledge that AuDHD Psychiatry may use the contact information you have provided to discuss aspects of your care or to confirm appointment details.
- Consent, where you engage in any additional support such as ADHD coaching arranged through our clinic, to relevant information being shared with that provider to support your treatment and progress.
